How Do I Archive Projects?

Projectmates archive tool allows administrators to back up all project files and correspondence into an exportable format that can be hosted outside of Projectmates for record or distribution. Archiving a project extracts data at point in time and does not affect project status or data in Projectmates.  


Each archive is a single time-stamped zip file which can be downloaded onto your local device and unzipped using any unzipping utility.


Requirements

Project archives can be generated by Project and Site Administrators from the Project Admin area of a project.

  1. Open the project that needs to be archived.
  2. Navigate to the Project Admin page by clicking on the red gear icon.
  3. Under the Other Options select Manage Archives. 
  4. Click on the + Archive button located in the upper right hand corner. 
  5. Select modules to include in your archive by checking the boxes on the left hand side.
  6. Click Create Archive. 
Please Note: The Archive utility backs up all files and correspondence and will notify you via email within 24 hours.

    7. Archives can be downloaded by navigating to this same page once complete and clicking on the Download link.


Requirements

There are a few technical requirements to keep in mind when generating one or more archives in Projectmates.

  • Role Requirements: The archive will only contain data YOUR role can access. 
  • Processing Time: Archives will process within 24 hours. You will receive an email when your archive is ready. A maximum of 4 archives will process each day.
  • Project Size: The archive module is limited to processing data less than 5GB. If your project is large, try breaking your project into multiple archives.

If your project exceeds 5 GB or if you need to archive multiple projects efficiently, please contact your client relationship manager for assistance. To facilitate this process, please gather relevant information about the projects you wish to archive and any specific requirements you might have. This will help streamline communication and ensure a smooth archiving experience.
