If modules need to be copied to an existing project after it was originally created, the following steps can be taken:
Please Note: This process will only copy across new modules into existing projects, but will not overwrite or delete module information if it already exists in the project/s to be updated. If you want to validate results before committing changes to many projects collectively, performing the planned process can be done initially for a single test project only.
1. From the My Projects page, select the 3 dot Options icon next to the project that should serve as the source of the structure to be copied into the intended project, and select the Copy option.
2. Ensure the appropriate source project/template is displayed in the Copy From field. If not, you can remove the project name from this field and type the name of the desired project/template you would like to use as source project.
3. In the Project List, search for and select the applicable project/s that need to be updated.
Helpful Hint: You can search projects by project name, or by certain project info keyword. This will allow you to automatically filter projects that meet specified criteria across all active projects that you have access to (e.g. by Project Type = “Renovation”, or Project Stage = “Design”, or Project Manager = “John Bain”, or State = “Texas”). Projects will now be updated in the Project List based on your keyword criteria.
Helpful Hint: If the Project List include many projects that all need to be updated, you can select the first project, hold the Shift key, and scroll to the bottom to select the last project. This will easily auto-select all of the projects in between the first and last projects.
4. Once the correct projects are selected in the Project List, move the projects to the Copy To block on the right by using the right > arrow.
Helpful Hint: If incorrect project(s) are mistakenly selected, it can be moved back to the Project List again by selecting it in the Copy To block and clicking the left < arrow.
5. When the correct Copy From and Copy To project/s have been selected, click Next.
6. From the App Group dropdown choose the Group that you want to copy module information from, and select relevant modules and threads for each as applicable.
Please Note: Module/s from any App Group can be selected as needed, but ensure that the intended Copy To project/s already contain all of the expected Roles as it appears in the source project. If not, the necessary role/s first need to be copied across from User Management, so that access rights for modules will be updated correctly when done later.
Helpful Hint: For modules like Schedules, Action lists, and Budgets the option for Data should automatically be toggled on to ensure templated data is pushed into your project/s.
7. Click Next & then Copy to initiate the Copy process.
8. Repeat steps 7 & 8 for any remaining modules as required.
9. Once you have completed the Copy process for all the intended App Groups, you can navigate back to My Projects to access the updated project/s.
How can I update a module’s role access rights in existing project/s?
Role access rights within module menu threads can be easily replaced using the Copy process, if the roles already exist with the correct rights in another project.
Please Note: This process will update all role access rights within the selected module menu thread/s. If only one or particular roles must have their access rights updated without affecting the rest in a menu thread, it will need to be done manually for each role in the applicable project/s. For this reason when updating many projects at the same time, it is typically advisable to ensure all role access rights from the Copy From project are correct, and then be copied across together into the Copy To project/s.
1. From the Copy Project Data page, select the appropriate App Group from the dropdown list. Steps 1-7 in the “How can I update modules in existing projects using the Copy process” can be followed to navigate to this area.
2. When selecting certain modules - and menu threads if applicable – a “Replace Existing Access Rights” toggle will be displayed in most cases. If so, toggle this on:
Please Note: Only the menu threads that are selected will be replaced with the Copy From projects configuration. For e.g. Closeout Checklist in this screenshot will be updated, but not the Punchlist as it is not selected. Further, no other information in addition to role rights will be replaced, added or removed as the Action List menu thread “Closeout Checklist” already exists in the Copy To project (and the system will not overwrite information in an existing menu thread).
3. If the “Replace Existing Access Rights” toggle is not displayed as an option for certain modules e.g. Invoices, Contracts / PCO / Change Orders and Contact / team Directory, the selection of the module/s itself will ensure role access rights are replaced into the Copy To project/s.
4. Click Next & then Copy to initiate the Copy process as per typical Copy process.
5. Repeat previous steps for any remaining modules in other App Groups.
