If you're receiving notifications on exceeding license allocations, it's important to take proactive steps to ensure continued access for your team and external partners. When your site reaches its allocated limit in any area, it may affect your ability to create new projects, add users to projects, or provide access to specific areas of Projectmates (ex. Projects, Bids, or Reports).
To Review Site License Allocations:
Helpful Hint: You can review current usage by going to Site Admin Settings > Site License.

- Bid Users
- Report Users
- Mobile Users
Max Projects: The number of active projects allowed on your site.
What Should I Do When a License Limit Is Reached?
If you've hit the limit for a specific license type (ex. Bid User, Project User, Report User, and/or Project Licenses), here are your options:
Option 1: Reallocate a License
If the limit is related to a type of user license, you can reallocate the license from one user to another. For example, if you've reached your limit for Report Users and need to give access to a new user, you can remove Report access from someone who no longer needs it. This frees up a license that you can assign to the new user. This applies to Bid and Project user licenses as well.
Option 2: Request Additional Licenses
If reallocating licenses isn’t an option, we recommend that you reach out directly to the assigned Client Relationship Manager (CRM) for your account. Your CRM can review your current allocations, help you understand which limits have been reached, and discuss upgrade options if additional licenses are needed.
Helpful Hint: If you don't know who your Client Relationship Manager is, you can send an email to licenses@systemates.com for assistance.
