How do I mark-up a PDF document?

The Projectmates collaborative mark-up tool allows users within a project to simultaneously annotate a PDF document at the same time. Markups created by a user within the project will immediately display for other users editing the PDF in real-time, even across platforms via the web version or Mobile app. This technology is supported via the web on all modern browsers (Chrome, Firefox, Edge, and Safari), as well as through our mobile app for both iOS & Android devices.

Helpful Hint: Access to mark-up a file is determined by the access rights assigned to your user role. If you do not have the ability to mark-up when attempting to follow the steps outlined below, you will need to contact your Project Admin and/or Site Admin to discuss updating the access rights assigned to your role.

To mark-up a PDF file from the Web:

1. Login to Projectmates via your web browser.
2. From the My Projects page, select the project you wish to work in.
3. Click Documents and navigate to the menu > folder location of the PDF document you wish to access.
4. Hover over the PDF icon to the left of the file name, and click the Edit pencil icon.

   Helpful Hint: The markup tools will default to Shapes, but click the dropdown menu to change the type of markup tool you wish to use (ex. Annotate, Insert, Measure).

5. Once complete, click Close in the top-right corner to save changes.

   Helpful Hint: Other project users who open, or download, the document will see that mark-up(s) you added.

To mark-up a PDF file from the Mobile app:

1. Login to the Projectmates app using your Android or iOS device.
2. Open the menu in the top-left corner and select My Projects.
3. Select the project you wish to work in.

   Helpful Hint: The projects list will default to displaying Favorites. Tap All to see all of your projects.

4. Tap Documents and navigate to the menu > folder location of the PDF document you wish to access.
5. Tap on the file name to open the PDF viewer.

   Helpful Hint: The markup tools will default to Annotate, but click the menu at the top of the screen to change the type of markup tool you wish to use (ex. Draw, Insert, Fill and Sign, Measure, Pens, Prepare Form, Redact).

6. Select your markup tool and add your notes, shapes, measurements, etc. as needed.
7. Once complete, close the mark-up tool to save changes.
   • iOS: Click Done.
   • Android: Click the <-- left-facing arrow.

     Helpful Hint: Other project users who open, or download, the document will see the mark-up(s) you added.
