What is the difference between a document Keyword and Label?

The document management tools allows text entry for both Keywords and Labels when managing documents. The main differences between the two data types are outlined below.

A Keyword:

  • Describes a file or folder.
  • Is searchable.
  • Remains with the file, even as new versions are added.
  • Displays on the screen, underneath the file name.
  • Can be added, or edited, at any time after upload.
Helpful Hint: Select multiple documents and click the info icon to "Edit Multiple Keywords" in bulk.

A Label:

  • Groups a set of files together.
  • Is version-specific, and will not carry across other versions of the file.
Helpful Hint: A label is commonly used by architects to denote a revision number.
  • Can be viewed, or edited, using the Filter option on the Name column from the documents log.
  • Can be added after upload.
Helpful Hint: Select multiple documents and click the tag icon to "Add Label" in bulk.
