Implementation Deliverables

You can expect the following deliverables as part of our standard enterprise implementation program.

Phase 1 - Live
  • Installation: Establish the dedicated private cloud, new web address, branded portal page, and SSL security certificate. Configure the new site, install Projectmates, and test the new site to ensure it functions as expected. Provide user credentials to client's core implementation team.
  • Project Kickoff: Conduct project kickoff meeting to introduce the teams. Draft a detailed schedule for the implementation process. Verify client access to branded portal.
Phase 2 - Personalize
  • Demo: Provide overview of the software in the first discovery meeting.
  • Assessment/Needs Analysis: Conduct Discovery meetings to understand client’s current state vs future state by defining client’s current processes and how they will be implemented in Projectmates. Detailed discovery notes are published.
  • Communications Plan: Compile contact details for each team member assigned to the project as well as schedule weekly or bi-weekly touch base meetings to review performance and resolve any project conflicts.
  • Risk Management: Work with client team to identify potential risks associated with the project, including risks that can affect the timeline, completion of tasks, and cost of the project. Mitigation tactics will be assessed.
  • Work Breakdown Schedule: Based on the project requirements, outline the Work Breakdown Schedule (WBS) in Projectmates software.
  • Configuration: Configure Projectmates software to meet client’s needs and maximize their ROI. For example, current projects and users are imported, templates are designed, workflows are tailored, terminology is customized, and web forms are made.
Phase 3 - Refine
  • Quality Assurance & Gap Analysis: Conduct Proof-of-Concept workshop where the teams run through a project from start to finish in the software. This workshop is an opportunity to solidify how processes will run in Projectmates and identify any remaining issues prior to training. Adjustments to software will be done based on any gaps identified during the workshop.
  • Playbook/SOP: Develop standard operating procedures guide that documents client workflows and usage of software.
Phase 4 - Training 
& Project Launch
  • Power User Training: Coordinate, conduct, and record training sessions for internal users.
  • Project Launch: Assist client with creating initial projects following power user training.
  • External Partner Training: Coordinate, conduct, and record training sessions for external partners.
Phase 5 - Escalated Support
  • Escalated Support: Provide escalated support for 1-3 months following power user training, including weekly touch base meetings.
  • Project Handover to Operations: Conduct handover meeting to Client Relationship Manager.
