How can I link my purchase order line items to my budget?

Step 1: Mark items to be linked to the budget.

On the Items tab of the purchase order, mark one or more line item checkboxes to be linked to the same budget line item.

Step 2: Click the Link to Budget button.

The Edit Link To Budget pop-up will display.

Step 3: Select how you want the selected line item(s) to link to the budget.

  1. You can select the Create new budget line items and add links option.
    1. Select the Budget Thread. Only budget threads that you can access will be available in this drop-down.
    2. Enter the WBS/ Section and Description for the new budget line item to be created. Optionally, you can enter the Budget/ FundCode, too.
    3. Hit Save to complete. The new budget line item will be created in the budget, and it's subitems will be linked to the line items from this purchase order.
  2. You can select the Add links to existing budget items option.
    1. Select the Budget Thread. Only budget threads that you can access will be available in this drop-down.
    2. Select the Budget Item from the drop-down. This list shows items first by the Budget Group/ Category, then by the Line Item WBS/ Section code, and last by the Line Item Description.
    3. Select the Budget Subitem from the drop-down. You can pick from the existing items that have not already been linked to something else, or create a new subitem.
  3. The last option is to Remove link(s) without deleting existing budget item(s). This selection will delete the links, but it won't remove the value of the selected line items from the budget. Any changes to the value in the budget will need to be made manually once this option is selected.
